Roslyn Boys & Girls Club Facility Usage Policy

I. Eligible Users:

Priority shall be given to Roslyn Boys & Girls Club sponsored activities and its Active Members, subject to the approval of the Facility Manager and/or the Executive Board of the Roslyn Boys & Girls Club. An Active Member of the Roslyn Boys & Girls Club is defined as a parent or guardian of a child that is currently participating in a sponsored program or within the twelve month period immediately prior to the application to use the facility. Active Members also include Officers and Members of the Executive Board of the Roslyn Boys & Girls Club, Coaches, Assistant Coaches, and Managers of Sports Teams sponsored by the Roslyn Boys & Club, and Active Members of the Committees approved by the Executive Board of the Club.

The Roslyn Boys & Girls Club does not discriminate against groups or individuals on the basis of race, color, creed, sex, or national origin; however, the Club reserves the right to deny usage of its facility to any group or individual if the Executive Board of the Roslyn Boys & Girls Club finds that an applicant’s usage of the facility would be detrimental to the Club and/or its purposes.

Additionally, subject to the approval of the Executive Board, the following groups shall be eligible users:

1. Roslyn based non-profit organizations;

2. Active members of the Roslyn Boys & Girls Club;

3. Non-profit organizations located outside of the Roslyn community;

4. Youth groups such as Scouts;

5. Such other applicants approved by the Executive Board of the Roslyn Boys & Girls Club.

The facility shall not be available to profit-making organizations or individuals. Fundraising events are not permitted at the Roslyn Boys & Girls Club.

II. Application Procedures for Usage of the Facilities of the Roslyn Boys & Girls Club:

All applicants seeking (access to) the facilities of the Roslyn Boys & Girls Club shall submit an email request to the Secretary or the Club Facility Manager of the Roslyn Boys & Girls Club at least 30 days prior to the intended use.

The Club Secretary shall consult with the Club Facility Manager in order to determine the availability of the facility at the time and date requested.

The Facility manager may exercise discretion to approve usage of the facility by Roslyn Boys & Girls Club approved programs and teams. All other applications for usage of the facility must be submitted to the Executive Board of the Roslyn Boys & Girls Club for approval. The Facility Manager shall promptly notify the applicant of the decision of the Executive Board and, in the case of approval, note the date and time on the master calendar of the Roslyn Boys & Girls Club.

All approved applicants shall be required to execute either a user agreement or rental agreement if a fee for usage is charged.

III. Rental Policy for the Usage of the Facilities of the Roslyn Boys & Girls Club:

Cost: The minimum rental charge is $350 for three hours rental. If you require additional time, the charge is an additional $100 per hour. A deposit of $50 is required to reserve your rental. The balance due for rental of the facility must be paid two weeks prior to the rental date.

Rental Periods: The Facility shall be available for Friday rentals only between the hours of 7:00 PM and 11:00 PM, and Saturday and Sunday rentals only from noon to 11:00 PM.

Prohibited Activities: No smoking, consumption of alcoholic beverages, or drug use is permitted inside the facility of the Roslyn Boys & Girls Club. Failure to adhere to the policy outlined herein regarding prohibited activities shall result in the miscreant and the applicant being barred from any future usage of the facilities of the Roslyn Boys & Girls Club.

IV. Responsibilities of Users of the Roslyn Boys & Girls Club Facilities:

Anyone using the facilities of the Roslyn Boys & Girls Club shall:

A. Setup chairs, tables and/or equipment to be used in connection with their event;

B. Confine activities only to the areas of usage approved by the Executive Board and/or Facility Manager of the Roslyn Boys & Girls Club;

C. Prevent damage to the equipment, structure, and other property belonging to the Roslyn Boys & Girls Club including grass areas surrounding the parking lot;

D. Prevent excessive noise which could disturb the neighbors of the Roslyn Boys & Girls Club;

E. Leave the building in broom clean condition. Cleanup any spills on the floors or tables. Take all trash to the trash cans located outside;

F. Return all chairs, tables, and equipment to the locations where the user found them upon their arrival;

G. Turn off all lights and electrical equipment, including in the restrooms, before departure;

H. Secure the building doors and windows and return any keys to the Facility Manager at the end of the usage period;

I. Report any damages to the facility and malfunctions of equipment or fixtures to the Facility Manager at the conclusion of the usage period;

J. Abide by all rules and regulations contained in the agreement (Rental or User) concerning usage of the facility;

K. Glitter and/or confetti are prohibited;

L. No deep fryers, grills, or any other equipment is allowed in the building or on the deck. This is due to possible damage or fire. If the building is damaged the renter will be responsible for all damages incurred. The club has the right to charge for any damages.

Any user that fails to live up to the responsibilities outlined herein may be barred from future usage of the building.

V. Communicable Diseases Disclaimer:

The following regulations apply to your reservation and/or rental agreement for the Roslyn Boys & Girls Club facility:

A. You are solely responsible for ensuring how your private use will meet applicable public health directives in effect at the time of your event. Public health directive includes state laws, rules, regulations and executive orders; federal laws or regulations including those from the CDC and OSHA, and any local health order.

B. You are solely responsible for informing your event attendees of any applicable health directives or personal hygiene recommendations that apply to their attendance.

C. During your private use, Roslyn Boys & Girls Club cannot provide representatives to monitor or enforce compliance with applicable public health directives or personal hygiene recommendations. You are solely responsible for monitoring and enforcement.

D. Roslyn Boys & Girls Club cannot guarantee that you or your event attendees will not become infected with a communicable disease from your reservation, rental or use of the facility. You should inform your event attendees of the risks associated with your private use.
